Our openings span more than one career level. The provided salary depends on many factors, such as work experience and transferable skills, business needs and impact, and market demands.

About Us:

Collaborative autonomy is how self-tasking teams of machines will solve hard human problems, and HavocAI is an unquestioned leader in collaborative autonomy. We set the standard for autonomous surface vessels for a wide range of defense and commercial maritime missions. Success requires us to grow quickly, and we’re looking for teammates who are passionate about solving hard problems, about pushing the envelope, and about preventing conflict and saving lives. Ambition is welcome to apply within.

About the Role:

We’re seeking an Engineering Administrator to provide essential operational and administrative support to our fast-moving engineering teams. This role is the backbone that ensures engineers can focus on solving hard technical problems while projects stay organized, documented, and on schedule. If you’re detail-oriented, thrive in dynamic environments, and enjoy bringing structure to complexity, this role is for you.

Key Responsibilities and Requirements:

  • Support day-to-day operations of the engineering organization, ensuring smooth coordination across hardware, software, and test teams.

  • Manage engineering documentation, including version control, compliance records, and technical report filing.

  • Maintain project schedules, track action items, and coordinate status updates with engineering leads.

  • Assist with onboarding/offboarding of engineering staff and contractors, including systems access, equipment coordination, and documentation.

  • Coordinate logistics for engineering reviews, test events, vendor visits and cross-functional meetings.

  • Serve as the central point of contact for administrative needs within the engineering org, escalating issues as appropriate.

  • Help ensure compliance with defense/industry standards for documentation, security, and reporting.

  • Partner with leadership to support resource planning, budgeting, and team communications.

  • Support procurement efforts helping to track outbound and inbound shipments, support RMA efforts and track delivery timelines.

Qualifications:

  • Bachelor’s degree in Business Administration, Engineering Management, or related discipline; or equivalent experience.

  • 2–5 years of experience in an administrative, operations, or coordination role — ideally in engineering, defense, aerospace, or robotics.

  • Strong organizational and project management skills, with the ability to juggle multiple priorities.

  • Excellent documentation, record-keeping, and communication abilities.

  • Proficiency with tools like Microsoft Office/Sharepoint; experience with Jira, Confluence, or similar project tracking/documentation systems a plus.

  • Familiarity with engineering environments (hardware/software labs, prototyping, testing) is preferred.

  • U.S. citizenship required; ability to obtain a security clearance is a plus.

Location:

  • This position will sit in Rumford, RI

  • Up to 20% travel required

Benefits:

  • 100% Employer paid Health, Dental and Vision Insurance for you and your families

  • Ability to participate in the companies 401k program

  • Unlimited PTO policy with an enforced 2 week minimum

  • Equity Package

  • Work / Home Office Stipend

  • Global Entry Re-Imbursement

  • 16 Week Paid Parental Leave

  • Monthly Health and Wellness Stipend
