About the Role
HavocAI is seeking a high-performance Executive Assistant to support two of our most critical leaders: the SVP of Revenue and the SVP of Multi-Domain. These roles sit at the center of our growth, customer engagement, and mission execution—and your job is to ensure they operate at maximum velocity.
This is not a traditional administrative role. You will act as a force multiplier—owning complex scheduling, driving coordination across internal and external stakeholders, and eliminating friction so our executives can focus on what matters most.
You will operate in a fast-moving, high-stakes environment where priorities shift quickly and execution matters. The right candidate thrives in ambiguity, anticipates needs before they arise, and brings structure to chaos.
You’ll also be part of a broader Executive Assistant team, collaborating to elevate standards, share best practices, and support company-wide coordination.
What You’ll Own
End-to-end calendar management for two SVPs, optimizing for impact, priority, and efficiency
Coordination of high-stakes internal and external meetings, including customers, partners, and leadership
Travel planning and logistics (domestic and international) with precision and adaptability
Communication flow between executives and key stakeholders
Preparation and follow-through on meetings, action items, and deliverables
Operational support that enables executives to stay focused on strategic priorities
What You’ll Do
Manage complex, ever-changing calendars across multiple time zones
Prioritize competing demands and ensure leaders are focused on highest-value activities
Coordinate and prepare materials for meetings, ensuring executives are fully equipped
Track action items and ensure follow-through across teams
Plan and execute logistics for conferences, events, and external engagements
Arrange travel, build detailed itineraries, and proactively solve for disruptions
Handle sensitive and confidential information with discretion
Support inbox triage, document organization, and general administrative workflows
Submit and manage expense reporting accurately and efficiently

Qualifications
Bachelor’s degree or equivalent experience
3+ years supporting senior executives (VP level or above preferred)
Experience in a high-growth, technology, or customer-facing organization
Strong proficiency in Microsoft Office and collaboration tools
Experience with Salesforce or similar CRM systems
Ability to manage complex workflows and shifting priorities
Strong interpersonal skills and ability to build trust across all levels
U.S. Citizenship required
