Your Role in Our Mission
Own how Normal's offices run day to day, growing in scope as Normal grows as a company. Today that means a primary office in New York, and offices in London, Copenhagen, San Francisco, with upcoming expansion in Seoul and potentially France. Based in our New York office, you’ll partner with the local hosts and leaders in each location to ensure our team has what they need to advance our mission, bring the culture of Normal to each office, and keep every site running efficiently.
This is a builder's role, coming in at a great stage for impact. The function does not exist in a fully formed state today, and you will design the playbooks, vendor relationships, tools, and operating cadences that let workplace operations scale cleanly as Normal grows from a startup into a global organization.
Success is measured by offices that consistently run without anyone having to think about them, vendor relationships that deliver against clear standards, an onboarding experience new hires remember as seamless, and the speed and quality with which Normal can spin up a new location when the company decides to.
Responsibilities
Day-to-day operations across Normal's offices: Manage facilities, supplies, maintenance, and office environments to a consistently high standard, and oversee catering programs, vendors, contracts, and ongoing quality management.
Manage the facilities budget: Track spend, manage expenses, flag inefficiencies, and coordinate with the Finance lead on budget planning, expense reviews, and invoice processing.
Lead space planning and real-estate support across the global footprint: Maintain office layouts, seating plans, and capacity tracking; support space-planning decisions based on headcount growth and team needs; coordinate internal moves, desk allocations, and reconfigurations; assist with lease tracking, renewals, and landlord coordination; and partner with leadership on expansions, subleases, or consolidations.
Lead the buildout of new office locations as Normal scales. Build repeatable, documented playbooks for launching new offices. Lead the Normal’s office expansion in Seoul and other worldwide locations.
Evaluate, select, and implement workplace tools: Establish lightweight, scalable processes across locations, track and report on workplace metrics, maintain process documentation, and help standardize workflows globally, across visitor management, space booking, supply ordering, and more.
Manage incoming workplace requests: Serve as the primary point of contact for workplace-related requests across the company.
Support events and new hire logistics, creating a wonderful experience for the company: Ensure our locations feel Normal: support office design decisions, procurement, decor, and more to bring out our company culture at each site. Help plan and execute in-office events and team gatherings.
What We're Looking For
Track record of owning workplace operations, office management, or facilities at a growing technical company.
Comfort operating across multiple countries with a high degree of autonomy.
Highly organized, able to track dozens of threads across vendors, sites, projects, and requests.
Strong vendor management instincts, working with vendors to achieve a high quality standard.
Owner's mindset on budget, find efficiencies without degrading employee experience.
Having built or substantially improved operational systems from scratch.
Proactive communication as a default operating mode.
Low ego, high ownership, and comfort with ambiguity.
