Role Overview
The Operations Associate is a highly organized, execution-focused role responsible for supporting day-to-day operational workflows and client coordination across Sparx’s customer base. This individual will work closely with leadership to ensure operational efficiency across client relationships, insurance partners, renewals, internal processes, and financial administration. The role requires exceptional organization and attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Account Management and Renewals
Support day-to-day coordination with Sparx clients and partners, ensuring timely responses and follow-ups.
Track client deliverables, communications, and deadlines to ensure smooth execution across accounts.
Assist with managing renewal timelines, coordinating required documentation, and preparing materials for renewal processes.Maintain organized client records and documentation to support ongoing account management and retention.
Financial Operations and Accounting Coordination
Support financial workflows including invoicing, accounts receivable, accounts payable, and reconciliation processes.
Prepare and track invoices and coordinate with clients on payments.
Assist with month-end close processes and maintain accurate internal financial documentation.
Operational and Administrative Support
Support day-to-day operational workflows across the organization.
Coordinate internal meetings, client calls, travel logistics, and executive scheduling as needed.
Identify opportunities to improve operational processes and drive efficiency across Sparx workflows.
Provide general operational support across client management, internal projects, and company initiatives.
Qualifications
Bachelor’s degree required.
1-2 years of experience in operations, business coordination, consulting, finance, or client-facing roles is a plus.
Exceptional organization and attention to detail, with the ability to manage multiple workflows simultaneously.
Strong written and verbal communication skills and a professional, client-facing communication style.
Proactive, resourceful, and comfortable taking ownership of tasks and driving them to completion.
Ability to operate in a fast-paced environment while maintaining accuracy and accountability.
Strong problem-solving skills and intellectual curiosity.
Proficiency in Excel, Google Workspace, and general business productivity too
